Privacy Statement
How we care for your personal data. Last updated: November 2026.
1. Who we are
Trinity International Church is the everyday name of Trinity Baptist Church, a registered ANBI church located at Gruttolaan 19-23, 2261 ET Leidschendam, the Netherlands. We are the controller (verwerkingsverantwoordelijke) for the personal data described in this statement.
Questions about privacy can be sent to the church office: office@trinitychurch.nl or +31 (0)70 51 78 024.
2. The law we follow
We process personal data in line with the General Data Protection Regulation (GDPR), known in the Netherlands as the Algemene Verordening Gegevensbescherming (AVG), and the Dutch implementation act (UAVG). We only collect what we need, use it for the purpose it was given for, and never sell it.
3. What we collect and why
- Questions and messages. When you email us, call us or use a form on this site, we receive your name, contact details and your message. We use these only to reply and help you. Legal basis: your consent and our legitimate interest in responding.
- Getting connected. If you fill in our "Let's Connect" form (Microsoft Forms) or sign up for a group or activity, we use your details to welcome you and keep you informed about that activity. Legal basis: your consent, which you can withdraw at any time.
- Pastoral care. Anything you share in a pastoral conversation is treated confidentially and shared only with your permission.
- Course and event sign-ups. When you sign up for the Alpha course or the Men's Ministry dinner on this site, we store your name, email address and, if you give them, your phone number, dietary needs and notes. Only the volunteer coordinating that activity can see them. Legal basis: your consent.
- Website statistics. Only if you click Accept in our cookie banner, we use Google Analytics to count page visits. If you click Decline, no analytics scripts or cookies are loaded. Legal basis: your consent.
- Giving. When you give by bank transfer or Tikkie, we receive your name, account number and the amount. We need these for our financial administration and, if you ask, a gift statement for your tax return. Legal basis: legal obligation.
- Livestreams and photos. Our Sunday service is streamed on YouTube. The camera focuses on the stage, but people near the front may sometimes be visible. If you prefer not to appear, please sit further back or let a team member know. We ask permission before using recognisable photos of people, and always of children, on this website, YouTube and Instagram. You can give or withdraw that permission on our photo consent page.
4. How long we keep it
- Messages and enquiries: deleted once your question has been dealt with, at most one year.
- Alpha and event sign-ups: deleted within three months after the course or event ends.
- Connection and group details: until you ask us to remove them or stop taking part.
- Analytics data: kept by Google for at most 14 months.
- Giving records: seven years, as required by Dutch tax law.
- Photo and video consent records: kept while your permission is active. If you withdraw, we keep a short record of the withdrawal for up to two years as proof, then delete it. Photos already published before you withdrew are removed from our website and channels where reasonably possible.
5. Who we share it with
We do not sell or rent your data. We only share it with services that help us run the church, such as our bank (ABN AMRO), Tikkie, Microsoft (forms and email), Google (Analytics, only after your consent) and our website and database host. Where required, we have processing agreements with these providers to protect your data. Some may store data outside the EU under approved safeguards such as the EU Standard Contractual Clauses.
6. Cookies and analytics
This website uses a small amount of browser storage to remember your cookie choice and, for volunteers, to keep them signed in. These are needed for the site to work.
Analytics cookies from Google Analytics are only placed after you click Accept in the cookie banner. We do not use advertising cookies. The church font is hosted on our own site, so no font requests go to Google. Embedded YouTube videos use privacy-enhanced mode and maps may set their own cookies when you play or open them.
To change your choice, clear this site's data in your browser and the banner will appear again.
7. Links to other websites
Our site links to services such as YouTube, Facebook, Instagram, Microsoft Forms and Tikkie. Once you leave our site, their own privacy statements apply. We are not responsible for how they handle your data.
8. Your rights
Under the GDPR (AVG) you have the following rights:
- Right of access: see the personal data we hold about you (inzage)
- Right to rectification: have it corrected (rectificatie)
- Right to erasure: have it deleted (verwijdering)
- Right to restriction of processing
- Right to object to how we use it (bezwaar)
- Right to data portability: receive your data in a usable format (dataportabiliteit)
- Right to withdraw consent at any time, without affecting earlier processing
- Right to lodge a complaint with a supervisory authority
Send your request to office@trinitychurch.nl. We will respond within one month. If you are not satisfied, you may file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
9. Security
We take suitable technical and organisational measures to protect your data against loss and unauthorised access. Only people who need the information for their role in the church can see it.
10. Changes
We may update this statement from time to time. The latest version is always on this page.
